How to create and manage institution templates?

Written by Imran Ahmed

Institution templates allow your team to create reusable Spaces that tutors can duplicate and use for their own sessions. For example, you could create a template for a math lesson based on your institution’s curriculum. Other math teachers in your institution can then duplicate that Space and adapt it for their students.

Templates help your team maintain consistent lesson materials, while still giving individual teachers the flexibility to prepare their own sessions.

Before you begin:

There are a few things to keep in mind when working with institution templates:

  • Two types of templates: General templates are managed by Team Pencil, while institution templates are managed by your institution.

  • Who can manage templates: Only Institution Admins can submit a Space as an institution template or remove one from the institution’s template gallery.

  • Who can use templates: Users must have permission to create Spaces in your institution to duplicate a Space from the institution’s template gallery.

  • Changes to templates: When you update a master template, existing Spaces created from it remain unchanged. Your updates will appear in new Spaces duplicated from that template going forward.

How to add a Space as an institution template

To submit a Space as an institution template, you must be an Institution Admin, and the Space must be owned by your institution.

  1. In the Spaces Manager, find the Space you want to use as a template and click View details.

  2. From the available options, select Submit as template.

  3. Enter a name for the template, assign an icon, and click Submit.

The template will now appear in your institution’s templates menu.

Once a Space has been submitted as a template, the original Space becomes the master Space and receives a Template Space tag.

You can continue editing this master Space as your lesson materials evolve. Any new Spaces created from the template will include the latest changes, while existing copies will remain as they were.

How to manage institution templates

Institution Admins can remove templates from the gallery, rename them, or change their icons at any time.

To manage your institution’s templates:

  1. Open the Spaces Manager, and click View all templates.

  2. Find the template you want to manage, and click the three-dot menu (⋯) next to its name.

  3. From here, you can select:

    • Remove from gallery: Remove the template from your institution’s template library.

    • Edit template: Assign the template a different name or icon.

Note: Removing a template from the gallery removes it from the list of templates available to your team. It does not necessarily delete the original master Space.

How to create a Space from an institution template

If you have permission to create Spaces in your institution, you’ll see a templates panel on the top of your Space Manager dashboard. You can use this panel to browse the available templates and quickly create a new Space from one of them.

To create a Space from an institution template, simply open your Space Manager, and navigate to the templates panel, select the template you want to use.

Pencil Spaces will create a new Space based on that template. You can then use it for your own sessions and make any changes you need.
