How to copy a board to another Space

Learn how to export a board from one Space and upload it into another

With Pencil Spaces, you can easily export a board from one Space and import it into another using a .space file. This is perfect for reusing lesson materials, sharing templates, or backing up your work.

Please note that only hosts can export boards.

To get started, follow the steps below:

From the Source Space

  1. Open the Space where you want to copy the board from
    ​

  2. Locate the board you want to copy.
    ​

  3. Hover over the board and click the three-dot menu (β‹―) beside its name.

  4. Select Download board.


    ​

  5. Choose Save as a .space file to download it to your device.

To the Target Space

  1. Open the Space where you want to upload the board.
    ​

  2. Open the Board Manager.

  3. Click the dropdown (βŒ„) button.


    ​

  4. Select Upload from a .space file.


    ​

  5. Your OS upload modal will open.
    Choose the .space file you downloaded from the previous Space.

Your board will now appear in the new Space, exactly as it was in the original.


Permission Settings

Institution administrators can control who can download or upload Spaces and boards.

To adjust this:

  1. On your homepage, click the three-dot menu (β‹―) next to Pencil Spaces and select Settings.

  2. Choose Permissions.


    ​

  3. Go to the Inside Spaces tab.


    ​

  4. Find Download Spaces or boards and select one of the following:

    • Always On (Host cannot modify) – Hosts can download and upload content from Spaces or boards.

    • Always Off (Host cannot modify) – Hosts cannot download or upload any content from Spaces.
