You can move a board from one Pencil Spaces Space to another by downloading it as a .space file and uploading that file into the destination Space. This is useful when you want to reuse lesson materials, share board templates, or keep a copy of your work.
Note: You must be a host in the Space to download boards. This feature is also only available on paid plans only. Free-tier institutions and Guest Spaces cannot access it. For more information on how to upgrade your plan, see our guide: How do I upgrade my plan?
1. Check your download and upload permissions
Before downloading or uploading a board, start by ensuring the relevant permission is enabled for your institution.
From your Pencil Spaces dashboard, open Settings.
Navigate to Permissions, and then Inside Spaces.
Find Download Spaces or boards, and toggle the permission setting.
The available settings determine whether hosts can download and upload content:
Always On (Host cannot modify): Hosts can download and upload content from Spaces or boards.
Always Off (Host cannot modify): Hosts cannot download or upload content from Spaces.
Once youâve confirmed that the permission allows downloads and uploads, you can proceed with the remaining steps to copy your board.
2. Download the board from the source Space
Before you can copy a board to a different Space, you need to save the board you want to copy as a .space file on your computer.
Open the Space with the board you want to copy, open the Board Manager from the bottom-left corner of your Space or by pressing Alt + B on your keyboard.
Hover over the board and click the three-dot menu (âŻ) next to its name.
Select Download board.
Choose Save as a .space file to download it to your device.
đĄ Pro tip: If you want to copy every board in a Space at once, you can download the .space file through Space settings instead.
3. Upload the board to the target Space
Once youâve downloaded the file, the last step is to upload it to the Space where you want the board to appear.
In the target Space, open the Board Manager from the bottom-left corner of your Space or by pressing Alt + B on your keyboard.
Next to New, click the dropdown button (â).
Select Upload from a .space file.
When your computerâs file picker opens, select the .space file you downloaded from the source Space.
The board will appear in the target Space with its original content and layout. A pop-up will confirm that the upload was successful.
