How to upload and manage your files into Pencil Files.

Files is Pencil Spaces’ built-in cloud-based file storage system. Files that you upload directly to Pencil Files are saved to your library, where you and members of your institution can access and organize them for use across the platform.

You can upload files directly to your Files library, or upload them while working in other parts of Pencil Spaces, such as a Space. Once uploaded, your files are stored in the cloud and can be accessed again whenever you need them.

How do I upload a file?

You can upload files directly to your Files library from the Files page.

  1. Open Files from the Pencil Spaces dashboard.

  2. Click the Upload button in the top-right corner.

  3. Select or drag and drop the file you’d like to upload from your device.

  4. Click Next to confirm.

Once the upload is complete, the file will appear in your Files library and can be accessed again whenever you need it!

How do I organize my files?

You can organize your Files library using folders. This makes it easier to keep all your related resources together in one place.

  1. Open Files, and click the New folder button in the top-right corner.

  2. Enter a name for your folder, and click the Create button to confirm.

  3. Once created, you can move existing files into your new folder by selecting and dragging them. Alternatively, you can upload new files to your folder directly from your computer.

How do I add an existing file to a Space?

You can reuse files that are already stored in Pencil Files without uploading them again. This is particularly useful for resources, guidelines, worksheets, and other materials that your institution has pre-loaded, or files that you’ve used in previous lessons.

To add an existing file to a Space:

  1. Open the Upload tool from the bottom toolbar, or press U on your keyboard.

  2. In the menu that appears on the left-hand side of your screen, select the Files panel.

  3. Browse your Pencil Files library or open a folder to find the file you’d like to use. Once selected, click Next or Insert to upload the file to your board.

The file will be added directly to your Space and will appear on the board, ready to use in your lesson!

💡 Pro tip: To upload a few files to your board at once, hold Shift on your keyboard while selecting your files to select multiple!

How do I find a file?

If you have a large number of files in your library, you can use the search bar to find a file by name.

If you want to narrow your search to be more specific, you can also filter your files using the available filters:

  • File type

  • Date uploaded

What information can I see about a file?

To see more information about an uploaded file, open it and select the Information button in the top-right corner.

This will allow you access to specific information about the file, including:

  • File type

  • File size

  • When it was uploaded

  • Who it was uploaded by

  • When it was last modified

What is the file size limit?

Each file can be up to 25 MB, excluding videos uploaded to Pencil Files.

💡 Pro tip: If you have a PDF that’s larger than 25 MB, you can work around the upload limit by splitting it into smaller files (e.g., separate chapters, lessons, worksheets, etc.) before uploading it.
