How to use Pencil Spaces: Gallery View, Pinned View, Full Screen Mode, Pop Out video, and the Collapsed Whiteboard View

Pencil Spaces offers the ability for you to use a collaborative whiteboard and use a video conferencing platform at the same time. We have given you a variety of views and layouts to help you focus on what's important.

Make sure to start or join a call in order to navigate video views. See this article for instructions.

Opening Gallery View

Hide videos on the whiteboard

Resize or Collapse the Default Whiteboard View

When you start a video call, the video tiles will appear at the top right corner of the screen with a toolbar directly below it.

You can resize the window by clicking and dragging the bottom left corner of the video window. It will always "snap" back into place with the size you prefer. You can also collapse the window by clicking the 2 arrows at the bottom right corner of the video window.

Gallery View

To expand into the gallery view, click the "maximize" button at the bottom left corner of the video window

To close the gallery view and return to the whiteboard, click the "Back to Board" button on the bottom left corner of the screen as shown below:

Pinned view

In gallery view, you can bring your mouse over any video stream or screen share to reveal 3 icons. click the "Pin" icon to expand the screenshare while still being able to see participant video.

You can also go straight into pinned view from the whiteboard by clicking the 3 dots over the video you want to expand and then clicking "pin to view".

Fullscreen Mode

For a fully immersive experience, you can also enter full-screen mode by clicking the fullscreen icon next to the pin.

To exit full-screen mode, click "ESC" on your keyboard or click "Exit full screen" located at the bottom right corner.

Place a video or screenshare on the whiteboard

You can place a screenshare or a video feed on the whiteboard to annotate on top of the screenshare. Just click the 3 dots on top of the video you wish to place on the board, and click "Insert video to board".

You can then resize and reposition the video on the whiteboard.

Pop out video - see other videos while screensharing

If you are sharing your screen and want to see participant video without constantly switching tabs, or if you would prefer to expand the video call outside of the whiteboard, you can use pop out video.

Click the 3 dots a the bottom right corner of the video window, and select your preferred layout under "Pop out video"

This will expand a floating video feed that stays on top of your page wherever you go. It can be resized and moved anywhere around the page.

To access the camera/mute button, or to turn off pop out video, just hover over the video pop-out. You can use the camera/mute icon at the bottom of the pop out, or simply click "Back to tab" to return the video feeds to the original whitebord view.
