Pencil Spaces supports two different whiteboard recording flows:
Optionally allowing hosts to record their whiteboard
Requiring that the host record their whiteboard
[1] Optionally record the whiteboard
By default, when you start a cloud recording, you’ll see a modal similar to the one below. Clicking “Record Whiteboard” will record your current whiteboard.
We recommend you use Chrome or Edge on Desktop for the best recording experience.
If you click "Not Now" but change your mind, navigate to the Share screen button below your video feed and select "Record Whiteboard"
[2] Require whiteboard recording
This flow is only available when Always-On Recording is active, and it must be enabled in settings.
For the best recording experience, we recommend you use Chrome or Edge. This will ensure only the whiteboard is recorded, and will omit other items in view, such as chat, the video call tower, and toolbars.
If you use another browser, these items will still be included in your recording.
You can enable this feature by going to Settings > Recording > toggling-on “Require hosts to record their whiteboard on all calls”
If you choose this option, hosts will be forced to record the whiteboard on every call in a Space belong to your institution
When enabled, hosts will be shown a blocking pop-up when they start a call
Note:This blocking pop-up modal is shown to all the hosts in an active call. This modal cannot be dismissed until whiteboard recording begins
If a host joins an existing call where another user is sharing their screen, they will not see a pop-up
This blocking modal does not appear on mobile due to screen-sharing limitations on mobile. Mobile users can proceed with the call without recording the whiteboard.
Click “Record Whiteboard” to record your whiteboard along with your video feed.
How do I share another screen on the call?
In some cases, you may want to share another screen (e.g., to share another PowerPoint presentation).
You’ll need to end the current screen share. Navigate to the Share screen button below your video feed and click on “Stop screensharing” to end the current screen share.
The “Record whiteboard to continue” modal will pop-up. Clicking “More Options” takes to another modal to share your screen.
Click on “Share another screen” to view more screen sharing options
Choose to share a Tab, Window or an Entire Screen. Click on “Share” to proceed as normal.
