How do I manage the people in my institution?

The following only applies to Pencil Spaces accounts which are part of an institution (e.g., on a paid plan or trial).

Profiles can only be accessed by institution admins.

Accessing Profiles

Profiles can be found by clicking the "Profiles" button found on the left-hand side of the home screen when you first log into Spaces.

If you do not see Profiles, you likely do not have the necessary permissions to access this information. You will need to contact your institution admin for access.

Invite people to your institution

1. Click the blue "Invite User" button in the upper right-hand corner of your screen.

2. A pop-up will open to enter user information. All fields are required, including first name, last name, email address, password and user role.

While creating a password is required, users can reset their password when they login by clicking "Reset password" when they login (see our guide here). This will send a link to the email address entered for them. If a user intends to log in via SSO (e.g., Google, Microsoft, Clever, etc.), they will not need a password.

Different roles have different permissions in Pencil Spaces. For example, Institution Admins are able to change settings for your Institution, while students can only join the Spaces for which they have access.

Please consider this carefully before granting access.

3. Once you have filled out the required categories, click the blue "Invite" button in the bottom right-hand corner of the pop-up.

To add multiple users at once, click the grey "Add Another User" button and repeat the process detailed above (or import users via spreadsheet)

4. You can optionally choose to send users a welcome email once they are invited by checking the "Send welcome email" box before hitting send.

Manage people in your institution

1. To manually edit a profile, click on the profile, then click the "Edit Profile" button in the upper right-hand corner of your screen.

2. This will allow you to update their name, email, and more. Click the "Done" button in the bottom right corner of your screen when finished.

3. To adjust user permissions or to remove them from your institution, look for the '...' menu on the top right hand side of the screen.
