Learn how to create, search, and filter through your Spaces on Pencil Spaces and also view Space details and make changes to them.

  • Create a Space


    To create a Space, log in to Pencil Spaces and follow these steps:

    1. On the Home page, navigate to the top-right corner and click on “Create Space”

    2. Once you click on “Create Space”, you will be redirected to the new Space

    3. Choose an appropriate name for your Space to get started. You can rename your Space by clicking on the textbox on the top-left corner of the Space.

    4. You will be the only member with Host permissions in the new Space. You have the option to make the space Public or Private and share the link to the space or invite participants accordingly.


  • Search for a Space


    With Pencil Spaces, you can create an infinite number of Spaces hence fast access to these Spaces is essential. To find a Space you would like to join, follow these steps:

    1. On the Home page, navigate to the search bar on the top-left

    2. Click on the “Search” bar and enter the keyword related to your Space and press Enter. For example, Searching for Maroon Earth will show any space that has the word Maroon or the word Earth in them (not necessarily both of them).

      However, searching for "Maroon Earth" will only show the spaces that have both of these words in them.


    3. Please note, at the moment, Pencil Spaces does not support fragmental searching. For example, if you are searching for the Space “Maroon Earth”, search queries such as ‘Mar’, ‘Ear’ will not populate any results. The best practice here is to search with complete words or queries like “Maroon” or “Earth”. It is also advised to add Spaces between words while naming your Space.

    4. It will take only a moment for Pencil Spaces to reload and show results related to your keyword.


  • Space Details


    Space Details can be viewed for each Space using the following steps:

    1. To view Space Details of a particular Space, hover around the corresponding Space. You will see two icons appear next to Enter Space.

    2. Click on the icon next to Enter Space to open Space Details

    3. Under Space Details, you can view when the Space was created and when was it last updated.

    4. You also have the option to share the Space using “Share with others”. Click on “Share with others” to open the sharing modal.

    5. Here you can add people to the Space, copy all email addresses of existing people, change user permissions, set Space visibility, copy link of the Space and share the link of the space socially.

    6. To access “More Options” in Space Details, click on the 3-dot menu to view options.

    7. With the following drop down menu, you will have multiple options accessible to you.

      1. If you are a Participant, you will have limited accessibility with these options. You could only copy the link of the Space and Remove yourself from this Space.

      2. If you are a Host you will have the option to copy link of the Space, Edit the name of the Space, View Analytics of the particular Space, and Duplicate the Space. You also have the option to remove yourself from the Space. Since, you are not the owner of the Space, you do not have the option to Delete the Space.

      3. If you are the Owner, you will have all the accessibility that a Host does, apart from being able to remove yourself from the Space. As the Owner, you also have the ability to delete this particular Space.


  • Filtering Spaces

How to access filtering options?

Once you have logged in to Pencil Spaces, you can find the Filters option on the left side of the Search bar. Various options are available to filter through your spaces and these are categorized as:

They can be used solely or combined with other options for accurate results.

  1. Date Created:

    To filter Spaces based on when it was created, follow the following steps:

    1. Click on the Filters option on the left side of the Search bar to access the Filter options.

    2. From the filter options, choose Date Created

    3. Under Date Created, you’ll able to select a date range or date to filter Spaces based on when it was created.

    4. You also have the option to choose a date range from the presets mentioned along side the calender for ease. You could also use the Custom option for date ranges outside the scope of the presets.

    5. Once you have chosen your date range, click on “Apply”.

    6. Pencil Spaces will only take a moment to reload with a filtered list of your Spaces that were created in your specified date range.

    7. To undo the filter, simply click on “Clear” to remove the applied filter or click on “Reset” incase of multiple filters.

  2. Date Last Updated:

    To filter Spaces based on when it was last updated, follow the following steps:

    1. Click on the Filters option on the left side of the Search bar to access the Filter options.

    2. From the filter options, choose Date Last Updated

    3. Under Date Last Updated, you’ll able to select a date range or date to filter Spaces based on when it was last updated.

    4. You also have the option to choose a date range from the presets mentioned along side the calender for ease. You could also use the Custom option for date ranges outside the scope of the presets.

    5. Once you have chosen your date range, click on “Apply”.

    6. Pencil Spaces will only take a moment to reload with a filtered list of your Spaces that were last updated in your specified date range.

    7. To undo the filter, simply click on “Clear” to remove the applied filter or click on “Reset” incase of multiple filters.

  3. Is Owner:

    To filter Spaces based on the owner of the space, follow the following steps:

    1. Click on the Filters option on the left side of the Search bar to access the Filter options.

    2. From the filter options, choose Is Owner as the filter option and select “Only show Spaces you own”.

    3. Pencil Spaces will only take a moment to reload with a filtered list of your Spaces that you own.

    4. To undo the filter, simply click on “Clear” to remove the applied filter or click on “Reset” incase of multiple filters.

  4. Hosts:

    To filter Spaces based on the Host of the space, follow the following steps:

    1. Click on the Filters option on the left side of the Search bar to access the Filter options.

    2. From the filter options, choose Host as the filter

    3. Click on “Add Host” and type the host's name in the box. A drop down menu will appear with suggested names. Select the host to filter spaces.

    4. Pencil Spaces will only take a moment to reload with a filtered list of Spaces based on the host.

    5. To undo the filter, simply click on “Clear” to remove the applied filter or click on “Reset” incase of multiple filters.

  5. Participants:

    To filter Spaces based on the participants of the space, follow the following steps:

    1. Click on the Filters option on the left side of the Search bar to access the Filter options.

    2. From the filter options, choose Participants as the filter

    3. Click on “add particpant” and type the participant(s) name in the box. A drop down menu will appear with suggested names. Select the participant(s) to filter spaces.

    4. Pencil Spaces will only take a moment to reload with a filtered list of Spaces based on the host.

    5. To undo the filter, simply click on “Clear” to remove the applied filter or click on “Reset” incase of multiple filters.
