The following settings only apply to Enterprise accounts
Pencil Spaces supports two different whiteboard recording flows:
Requiring all hosts in your institution record their whiteboard, or
Allowing hosts to optionally record their whiteboard
Option 1: Require Whiteboard Recording
This flow is only available for institutions with Always-On Recording enabled
If you choose this option, hosts will be forced to record the whiteboard on every call in a Space belong to your institution
How does this feature work?
When enabled, hosts will be shown a blocking pop-up when they start a call
Note:This blocking pop-up modal is shown to all the hosts in an active call. This modal cannot be dismissed until whiteboard recording begins
If a host joins an existing call where another user is sharing their screen, they will not see a pop-up
This blocking modal does not appear on mobile due to screen-sharing limitations on mobile. Mobile users can proceed with the call without recording the whiteboard.
Click on “Record Whiteboard” to record your whiteboard along with your video feed.
For the best recording experience, we recommend you use Chrome or Edge. This will ensure only the whiteboard is recorded, and will omit other items in view, such as chat, the video call tower, and toolbars.
If you use another browser, these items will still be included in your recording.
How do I screenshare another screen on the call?
In some cases, you may want to share another screen (e.g., to share another PowerPoint presentation).
To do so, you’ll need to end the current screen share. Navigate to the Share screen button below your video feed and click on “Stop screensharing” to end the current screen share.
The “Record whiteboard to continue” modal will pop-up. Clicking “More Options” takes to another modal to share your screen.
Click on “Share another screen” to view more screen sharing options
Choose to share a Tab, Window or an Entire Screen. Click on “Share” to proceed as normal.
How do I enable this feature?
To enable this, follow the steps below:
Log in to the Pencil Spaces account and navigate to Settings
Select Permissions from the Settings menu.
Navigate to the Recording permissions
Toggle-on “Require hosts to record their whiteboard on all calls”
Click on “Update”
Option 2: Optionally record the whiteboard
If the setting in Option 1 is not enabled, you’ll see a modal similar to the one below when you start a cloud recording.
Clicking “Record Whiteboard” will record your current whiteboard. Unlike above, this modal is now dismissable.
We recommend you use Chrome or Edge on Desktop for the best recording experience.
If you click "Not Now" but change your mind, navigate to the Share screen button below your video feed and select "Record Whiteboard"
