How do I get started with the TutorCruncher integration?

A quick guide to set-up the Pencil Spaces integration with TutorCruncher

We're excited to partner with TutorCruncher to serve the needs of tutors both inside and outside the classroom.

With our TutorCruncher integration:

  • You and your students can instantly log-in to Pencil Spaces directly from TutorCruncher

  • If you have a lesson in TutorCruncher, we will automatically create a Space for your lesson

Setting things up

Before you begin, please check if you already have a Pencil Spaces account connected to the same email associated with your account on TutorCruncher.

If you don't have a Pencil Spaces account

  1. Sign into your TutorCruncher account. Navigate to System > Settings > Integrations and select "Online Integrations"
    ​

  2. Select "Pencil Spaces" and click "Add integration"
    ​

  3. An account will be automatically provisioned for you and you should see the following success notification
    ​

  4. You're all set-up. There are now two ways to get started with the Pencil Spaces <> Tutorcruncher integration.
    ​

    1. SSO-based log-in: Simply click "Pencil Spaces" on the left hand side of your screen (as in the screenshot below). You and any student who clicks the button will be automatically logged-in and sent to https://my.pencilapp.com/spaces
      ​

    2. Automatically create a unique Space for each job: We also support automatically generating a Space for each job, which means you and your student do not need to share any links to start a session on Pencil Spaces. This requires a bit of configuration - you can learn how by visiting Automatically generate Spaces for each Lesson

If you are a Free / Trial user

Please set-up your account by following the process outlined in "If you don't have a Pencil Spaces account".

We'll give you a trial to Pencil Spaces for Enterprise that you can use to test out our TutorCruncher integration. After you've trialed out the integration, we'll reach out to you about upgrading to Pencil Spaces Enterprise.

If you are a Pro user

We're so excited to see you use our TutorCruncher integration! We'll automatically upgrade you to Enterprise, so you can take advantage of this integration. We will reach out to you to adjust your billing to follow our enterprise billing process.

If you are an Enterprise user

To start, please check your role by searching for your email in Profiles.


If you are an Institution Admin in your institution, please contact our 24/7 Support and we will get you set-up on TutorCruncher.

If you are not an Institution Admin, please ask your organisation's institution admin to contact support. If you'd like to leave your current institution and set-up a separate institution, please contact us and we will process this request for you.

Automatically generate Spaces for each Lesson

To begin, we need to configure Pencil Spaces to be your default Online integration for jobs in Tutorcruncher. To do this:

  1. Go to System > Settings
    ​

  2. Go to 'People and Activities' and select 'Activity'
    ​

  3. Select "Pencil Spaces" as your "Default Online Integration" and click "Save"
    ​

  4. You're all set-up! To verify that everything is working correctly, create a new Job and create a new Lesson scheduled in the future.

    1. Please make sure the Lesson is an online appointment (e.g., do not select a particular location for that role)

    2. After you event is created, click "More details" and then "Pencil Spaces" as in the screenshot below

    3. You and any of your students will automatically be logged in, and will be navigated to a Space set-up specifically for that Job
      ​
