How To Use Google Docs In Pencil Spaces

Learn how to access and use Google Docs within a Space.

Google Docs is one of the most powerful education tools on the market, and it can now be used with Spaces. Let's cover how this can be done as simply as possible, and how you can get the most out of this feature.

1. Accessing Google Docs

To open a Google Doc in your Space, follow the steps below:

  1. Once you've logged in and joined a Space, navigate to the left-hand side of your screen, towards the apps sidebar.

  2. Next, click the "Open Apps" button, which is the 2nd button from the top and looks like a collection of boxes.

  3. From there, you will be presented with a list of apps along the left-hand side of your screen. Click on "Google Docs" at the top of the list.

  4. This will open up a pop-up that asks you to enter the link of the Google Doc that you want to bring into your Space. You can copy & paste either the "Share" link for the Doc or the web address. Click the blue "Import" button when finished.

  5. Your Doc will now be available to edit in Spaces!

2. Using Google Docs

To effectively use Google Docs in your Space, there are two main points to keep at the forefront of your mind.

  1. Firstly, you want to ensure that you have the Move Tool selected any time you want to edit your Google Doc. Your Google Doc will be accessed through a Web Viewer, and as a result, the same limitations apply.

    1. Before using your Google Doc, ensure that the Move Tool is selected by looking at the bottom left side of your Toolbar, and make sure that the leftmost icon is highlighted.

  2. Secondly, make sure that the Doc in question is shared with everyone else in the Space if you wish to have everyone working on the same Doc. Without the Doc being shared, other participants in the Space will not be able to access the Doc.
