How to Add and Manage Profiles in Pencil

How to invite people to your institution, check their profiles, and add them to courses

Locating Profiles

Profiles can be found by clicking the "Profiles" button found on the left-hand side of the home screen when you first log into Spaces.

Creating Profiles

1. Click the blue "Invite User" button in the upper right-hand corner of your screen.

2. A pop-up will open to enter user information. All fields are required, including first name, last name, email address, password and user role.

While creating a password is required, users can reset their password when they login by clicking "Reset password" when they login. This will send a link to the email address entered for them.

Note: When adding a user with an email that is compatible with Pencil Spaces' Single-Sign On (SSO) options (Google, Microsoft, Clever, etc.) users will not need the entered password even though it is a required field. Instead, when users login with SSO accounts, it will overwrite the password added by the admin.

3. Once you have filled out the required categories, click the blue "Invite" button in the bottom right-hand corner of the pop-up.

To add multiple users at once, click the grey "Add Another User" button and repeat the process detailed above.

Managing Profiles

1. To manually edit a profile, click on the profile, then click the "Edit Profile" button in the upper right-hand corner of your screen.

2. This will allow you to update their name, email, phone number, and bio. Click the green "Done" button in the bottom right corner of your screen when finished.

3. To remove to suspend users, click the grey box beside the profile in question. This will open up several options. Firstly, clicking the "Manage Courses" button will allow you to add or remove the profile from any course your institution offers.

Clicking the "Delete User(s)" button will delete the user profile entirely.

Finally, clicking the red "Suspend" button will permanently suspend the user profile from your institution.
